FLEET ADMINISTRATION ASSISTANT
(SENIOR TYPIST CLERK)
SOLID WASTE MANAGEMENT DEPARTMENT, FLEET MANAGEMENT AND
TRANSPORTATION SECTION, PUENTE HILLS FIELD OFFICE, WHITTIER
To perform progressively more responsible clerical tasks and to
provide a wide variety of office support duties with increasing
independence and proficiency.
Under the general supervision of a Fleet and Facilities
Equipment Supervisor, the incumbent provides administrative support
to the Fleet Operations and Transportation Group; maintains
organized fleet asset records; creates and distributes forms for
the release or transfer of fleet assets; processes DMV applications
for registration of vehicles; performs database management for
monitoring fuel transactions; provides support using computer
applications including Oracle Work and Asset Management (WAM),
Oracle E-Business Suite (EBS), and EJ Ward Fuel View; ensures
documents are organized and filed correctly in Document Management
System; creates reports and spreadsheets utilizing Microsoft Word
and Excel; creates miscellaneous memos and letters; performs duties
and tasks with accuracy and consistency; creates purchase
requisitions for new fleet assets; orders and receives supplies;
coordinates office procedures with regard to deadlines and changing
priorities; answers a heavy volume of telephone calls from
customers, vendors, and field personnel and provides information in
a timely fashion; may perform timekeeping duties; and performs
related duties as required.
Applicants must possess six months of experience performing
duties equivalent to an Intermediate Typist Clerk.
EXAMPLES OF ASSESSMENT CRITERIA
The competitive selection process may cover a knowledge of:
Elements of English grammar, spelling and punctuation; operation of
office equipment including desktop computer, typewriter, adding
machine and calculators; basic arithmetic; standard business letter
and report typing procedures and telephone/receptionist etiquette;
database maintenance and recordkeeping; office administration
methods and procedures; proficiency in Microsoft Word, Excel and
Access. The ability to: Perform routine clerical work including
simple arithmetic calculations prepare routine correspondence;
learn and apply office procedures and policies; maintain files and
records; exercise independent judgment within prescribed
parameters; operate a variety of office equipment including
document copying, scanning and fax machines; operate a computer;
type at a rate of 50 words per minute from clear copy with a
maximum 10% error rate; work independently with minimum
supervision; prepare and maintain records; organize multiple work
tasks; perform complex operations on a personal computer utilizing
various applications with full proficiency.
