Our established Business Management firm is seeking a full-time Office Manager to join our team immediately. The ideal candidate is a bright, outgoing, energetic, positive professional looking to join a close-knit team. As part of our support team, you are the face of our company, and the first person our clients meet. We offer extensive training in a friendly environment. Candidate must be independent, pro-active, and able to take initiative by anticipating needs. You must also be self-motivated with strong organizational and follow-up skills. - -The idea candidate will possess the ability to manage priorities, handle multiple tasks with tight deadlines, demonstrate flexibility, along with possessing the ability to work well in team environments and be productive when working independently with minimal supervision. -The chosen candidate must also have the ability to communicate accurately and clearly orally and in writing. You must have a pleasant telephone manner and have a customer service oriented 'can do' approach to work. -JOB RESPONSIBILITIES: - - - - - - - - -Heavy answering of phones, making and confirming appointments daily - - - - - - - - -Assembly of tax returns and filing returns with the appropriate agencies - - - - - - - - -Familiar with scanning and organizing a digital library - - - - - - - - -Greeting all clients that come to the office and routing appointments to the team - - - - - - - - -Perform various administrative functions under minimal supervision - - - - - - - - -Independently sort and distribute incoming materials and distribution of key documents to appropriate team members for signature and filing - - - - - - - - -Perform basic bookkeeping functions using QuickBooks - - - - - - - - -Accepting payments, processing in-house bank deposits with occasional outside the office bank deposits as well - - - - - - - - -Preparation and mailing of monthly invoices and statements - - - - - - - - -Assist management and bookkeeping teams with tasks and projects as assigned - - - - - - - - -Maintain all functions of office operations REQUIREMENTS: - - - - - - - - -College Education preferred - - - - - - - - -2+ years in an administrative assistant/office manage role; CPA/Business Management office experience preferred - - - - - - - - -Excellent written and verbal communication skills and follow through - - - - - - - - -Proficient in Microsoft Office Suite and Google Office Suite - - - - - - - - -Must be able to work individually as well as part of a team - - - - - - - - -Must have superior organizational skills, accuracy, and problem-solving skills - - - - - - - - -Strong customer services skills - - - - - - - - -Must have a friendly, positive attitude with a high level of professionalism - - - - - - - - -Able to prioritize client requests and projects, while handling other tasks - - - - - - - - -Maintain confidentiality of all information obtained - - - - - - - - -Pleasant and clear phone etiquette - - - - - - - - -Weekend availability during tax season (Jan - Apr) - - - - - - - - -Bi-Lingual candidates are welcome -JOB DETAILS: - - - - - - - - -Full-Time - - - - - - - - -Industry: CPA/Financial Services/Business Management - - - - - - - - -Benefits: Medical, Vision, Dental - - - - - - - - -PTO Days - - - - - - - - -Salary is based in your education and experience -
